APCheckHub
Creates TruckMate checks from bank source files
APCheckHub builds the manual checks that accounts payable records in TruckMate for payments that never go through a bill: bank drafts and ACH debits, loan payments, tax payments, and medical claims funding. It replaces AP CheckMaker 3.3, a Microsoft Access application, and carries its field mappings over into code.
Drop the source files on the Make Checks page and the app identifies each one by its content: the bank’s prior-day activity export, the Indiana IRP receipt file, the payroll tax service file, and the medical claims workbooks. Bank lines are matched against editable Vendor Rules, each with a description pattern, vendor, GL account, and sign multiplier. Lines that match a Note Rule become loan payments whose principal and interest split comes from the note’s amortization schedule, uploaded as a TValue report under Settings, with a month offset for lenders whose drafts run a month ahead of or behind the schedule.
The preview shows one row per check with its expense lines, warnings, and problems, and nothing is written at this stage. Each check has an include box, dates can be overridden, and an ambiguous schedule row can be picked by hand. Validation requires every check amount to equal the sum of its lines to the cent and blocks bad GL formats, over-long check numbers, and unknown vendors. Posting inserts the check headers and expense lines in one DB2 transaction with IDs from TruckMate’s own sequences; any error rolls the whole run back. History lists every run, and the log plus TruckMate itself guard against posting the same check twice. Writes stay off until turned on in Settings, and a mock mode runs the full flow without a database. Only the status, date, and amount columns are read from the claims workbooks; names and identifiers are never stored or logged.
